Business Mail Functionality

Badge +1

Hello All,

We are running client IFS version 9.0.52.0 and server version 6.90.19.0

I am looking to see if we can utilize the functionality of Business Mail. However, I have some questions.

Is there a document that explains how the Business Mail works?

How can I connect the Business Mail to the Business Opportunity?

Is there an email app that I need to load in my Outlook to be able to connect to IFS?

Any help will be beneficial for our team.

hi Juan,

the following apply to IFS Apps 9.  some screenshots may differ according to Update..

The idea of Business Mail is to take an email from your inbox or outbox and upload it into IFS.  IFS searches the mail for email addresses, then searches the IFS CRM database for those addresses and if found, associates the business mail record with the appropriate customer/contact.  It can also link the mail to an activity or opportunity.

    1. Setup required for Business Mail

Go to IFS Launch webpage

  • Click Add-ons
  • Click Document Management Office Add-in to install
  • Close/reopen Outlook and ensure Add-ins are running/enabled.  You should see the IFS Applications tab as below
  • Point this to your database by going to settings and filling in the “From URL” to your application server.

Go to the Document Import Actions page in IFS

  • Locate the record entitled “Launch CRM Email Assistant”.  If not present, it needs to be created.  This interrupts the standard document upload function to launch Business Mail instead.
  • Ensure there is a default Doc Class and Format
  • Ensure all trainees’ User IDs are registered in the lower part of the screen.

Bring up a mail item in Outlook

  • Bring up the IFS Applications tab and click Save as New Document
  • IFS will log in (in the absence of active directory, user will need to re-authenticate)
  • The Mail Add-in assistant will be seen (shown below).  IFS has located the contact email address and will associate the business mail with the contact and customer.
  • The Business mail record will be shown (screenshot below).

Hello,

somehow the Mail Add-In Assistant doesnt appear for me. I have created the Document Import Action like described. Unfortunetaly the mail will be imported in document manegemnt only, but without mail assistant to connect CRM objects.

We use Apps 9, Cliebt Version 9.0.41.0 B Server Version 6.90.16.0

Any ideas?

Thanks in advance.
