I’m looking for some advice around screens in IFS which hold global data. We’re doing a big security review at the moment so want to make sure that we’ve got data managed such that only users in particular companies can see data they’re granted access to through site / company access. Some examples of the areas where we’ve had to make considerations are: Customers [header level & address / contacts], we’re managing this through CRM (we set groups up for each company basically) IALs, we reviewed all the IALs we’ve built in the system to ensure they only point to data for the relevant company Report Archive, we discovered there’s a permission set which a number of users have which allows them to view all reports printed (we’ve since revoked this) Employment Informaiton / People Finder & Suppliers, we’ve accepted these as being global screens but are happy that there isn’t much sensitive data here so minimal level of concern I was hoping the community might be able to help us come
Afternoon all, I have come across an issue that I am sure has plagued others before. Way back in the heady days of 7.5 being implemented the business made a decision to opt out of a numerical ID system for our Person and User ID records. Instead we opted for <First Initial><Surname> e.g. NTAYLOR. The problem we have is that one of our users got married and now the Person ID and User ID do not reflect her now taken name and has asked if we can update the Person ID/User ID to correctly reflect her new surname. As these are somewhat key fields within the system I am pretty sure there isn’t a standard way of achieving this as it would need to flush the entire system to update everything that was ever posted with these ID’s. If anyone knows of a way how to do this or (for the IFS employees) if a data fix exists for this kind of change it would be interesting to know! Regards Nathan
Is there away to create users from a template or to copy from an existing user?Our current process of creating users is very manual and time consuming, if we could copy a user who does the same role or create templates for each role it would be a lot better. Any help or advise anyone could offer would be greatly appreciated.
Hi, we have an issue where we want to use document attachments for expenses. The users who will need to be able to view the attachment is the employee the expense sheet has been created for, the employees manager and an administration team. Generally the employee is inputting the attachment so will automatically get permission to see the document, adding an administrative team is easy but how can I get the employees line manager to view the document without opening the document up to multiple other users?ThanksHelen
Hello All, Can anyone advise how we could control access to the report archive screen/data by site / company? At present any user can print/view any report from report archive screen regardless of this access, this is posing a potential security threat as our organisation is made up of multiple companies. We’ve tried revoking access to report archive activity, however that meant the user could not print any reports as a result. Please advise.
Hello, I’ve a customer with the requirement that he wants to define the naming of a PDF document (e. g. customer invoice) by himself. If in IFS a PDF is automatically created then the naming is like “PDF46549877987…..” for the PDF file. Is it possible in IFS to define the namings of in IFS created PDF files?
We upgraded to Apps 10 last October. I have a user using sticky notes on Time Card Day. Now in 10 the note will appear and you can type in it, etc…, but when you leave the page the note is gone. I do not believe it is a permissions isssue as she can use the notes on other screens and the same thing happens when I am logged in as App Owner. Any one else run into this?
In IEE on an LOV, you can set a default saved search. Is there a way to do something similar in Aurena? For example, we built a saved search on expense sheets so that the only work orders a person will see are those that are assigned to them. Otherwise the LOV has way too much to navigate. How do you do that in Aurena?
When I try to authorize my employees, I got the error 'Access Denied. You cannot authorize records within Time Pers Diary logical unit.'. I used TIME_PERS_DIARY_AUTH attribute in my access role. I can see time reporting and can do confirm, but cannot authorize. What am I missing or any ideas where else to check?
At the moment, am pulling either the user screen and using one in summary mode to copy from and check the permissions set on the new user. I have tried the grant permission set to user grid, and even that can be cumbersome. Is there an easier way to do this I am missing? Thansk
I’ve created a lobby element which shows upcoming leave for senior management - this is for use by our Project Management department. As Senior Managers are across various org units, I’ve had to grant Project Managers access to departments via Graphical Org Structure and to relevant Positions via Position Access Setup. This means, they can see senior managers’ time registration/absences. Is there a way to grant access just to the lobby data source, without having to touch HR org/position access? i.e. so they are only able to see these absences via the lobby element?
We are trying to find a way to clear the files from the temporary directory that are created when viewing files from within IFS. The reason is when the user goes to open another file from IFS it prompts to replace the file or not. Not a huge deal but when they are opening a number of files at once it is a bit annoying.
