Document Management (DocMan)

After we upgraded to IFS10 we are struggling with slowness in our Oracle DB. We haven’t been able to pinpoint the cause of our problems. But very often (5-10 times each week), we see that the CPU goes to 100% and doesn’t let go. Every user in our company are then struggling with slowness when this happens. As an example, saving a time registration can take 3-4 minutes.Today, a restart of the DB server was necessary to get it back to  normal.  We have used the query below to find CPU consuming operations, and have also checked background jobs and DMBS jobs. Deprecation of the FTP and Shared repository types in Docman in 23R2 - a heads-up This post is only relevant for Remote customer installations. For managed cloud customers, FTP and Shared document repositories are NOT supported. This is a heads-up on IFS deprecating support for the FTP and Shared repository types in Docman in IFS Cloud 23R2, for complete removal in 24R1.If you have customers using these two repository types today, you should plan for migrating to Database or File Storage.If you are planning to implement this in Remote Deployment in IFS Cloud right now, you should reconsider, and use File Storage or Database.In Remote deployment, File Storage will still have support for local/external storage (outside the database) by supporting S

Sometimes when I upload large files via IFS DocMan I am getting the above error message. Any way to bypass this?

Hello Everyone, There is a requirement to send Attachments  with the same email of the Purchase Order’s Print Order...The mail should contain the attachments of the Purchase Order as well as the Purchase Order report.This should be happen only if the attachments are in specific document classes eg: 4600 - 4699.This should be work in Aurena as well. Please let me know if you have any idea of how to do this.  Many Thanks,Denuka

I need to give access to a user for a particular document classI did this using window “Document Management\Basic Data\Document Basic → Access Template tab”. i.e. Person is added to the document class and given view and edit access.After this security refresh still my user cant access the attachments done by other users. When this access is given to the user can he view documents attached in the application by other users as well?Or do I have to setup something else?  Do I need to give the “Docman Administrator” system privilege to the user to do this? version: Application 10 UPD 7   

Can anyone kindly point me to where I will find the documentation for IFS Document Management for Apps 10? I am an end user (IT Manager) and quite new to IFS and am trying to get to grips with how our system is set up.I have found many pages/docs that are related to this but nothing which explains broadly how document management works and then drills down to all the details like document class management, user/group access, etc.We have a pretty basic setup from what I can see so just need something that will get me going. We have many users who need access to things like specification documents attached to inventory parts and they don’t currently have access.Many thanks,Matt

Hi all, Is it possible force the users to choose the application when editing a document. The equivalent to windows “open with”?

21r2, using Chrome and with Aurena Agent installed, I find that the “eye” preview icon on a document attachment opens a PDF in the browser, whereas if i go to the document and click “View” i get the standard docman download to local checkout path.What’s the reason for the difference?Is there a way to get the eye/in-browser preview elsewhere?Preview in browser: 

Hello,On IFS Cloud - We can retrieve documents stored on FTP path (Stored in pervious versions of IFS). But are not able to add any new document. there is no error while uploading. Hello, I’m trying to find a solution to help automate a few steps in the process of our customer relations. We print the packing list and BOL, have the driver sign the paperwork, and attach the signed paperwork directly to the shipment in IFS. Upon attachment of the signed documentation, I’d like to trigger an email to the customer/ customer relations team with this document.  Triggering the email and dictating the path of the email is no problem, but I’m not sure how to make the files attach to an email since they are BLOBs in our database and not files on an FTP due to SOX requirements. Is it possible to attach the BLOB to an email so that the receiver sees the attached PDF?

I have been trying a few things with both project and document access. But I have come up against what I think is a conflict between project access and document access.  But here are my findings:I created a project under IFSAPP in a test environment. IFSAPP is identified as a document administrator I created another user that was not a document administrator (User 2) I did NOT add USER2 to the project access I created a couple of documents that were attached to an activity on the project as IFSAPP USER2 was NOT able to access the project at all I added USER 2 to the project access with full rights I logged in as USER2 and accessed the project successfully I could see the documents I had attached earlier BUT although I had granted the team to which USER2 belonged full access, USER2 could see that the documents existed BUT could not access them I tried as USER2 to create a document atta

Creating document macros can be easy or hard. All,We are upgrading to IFS Cloud 23R2 (Remote) from Apps 10, where we have historically used FTP as a repository type. Since this is no longer supported, we are moving to File Share and use of a Windows share instead.We have manually moved the files from FTP to File Share.I am looking for guidance on what I need to do to change the "file pointer" in Docman as well as add some metadata used by File Storage please for all our existing documents?Does someone have a pre-existing script they would be willing to provide? Thanks in advanceShaun

Hello,After IFS Cloud update to 24R1 version there is no possibility to use Document Repository with Repository Type “Shared”.Client used Repository Type “Shared” and all document files were kept there. After upgrade client cannot access document files from Document Revision. Receives error: Error in downloading file: one or more errors occurred.First question: How to reach the document files after upgrade to 24R1 version if they are uploaded to repository with type „Shared“?***We tried to create new repository with file type „File Storage“, in the field „Path“ (in the form „Repositories“). Can someone please tell me how can I enable this media attachment option in another window?Example: This is now available in NCR window. With the type 'Check In To Document Management' in the report rules it is possible to create a document revision with the report when printing a report. If I configure the Document No in the property list as follows 'DocumentNo=[@CUSTOMER_ORDER_IVC_REP/INVOICE_NO];' the revision is not created. If I omit the DocumentNo property, a new Document No is created each time the report is printed. How can I implement in the report rules that a document revision is created which is revised when the report is printed again?

Hi, I am currently working on a project to simulate a signature handling process relating to customer order deliveries. The customer signs for a delivery which marks the order on the IFS Cloud 21r1 platform as delivered but I cannot use the MediaLibraryAttachmentHandling.svc and its end point [PATCH] /MediaItemSet(ItemId={x}) According to Fiddlers traffic logs ( and when a file is inserted via aurena’s UI ).There is an extension of this endpoint ‘/MediaItemSet(ItemId={x})/MediaObject HTTP/1.1’ with RAW data being passed as binary format of a .png image. There is no JSON body being attached as per the IFS API documentation. I am stuck at a point where I cannot understand how I can pass binary data in POSTMAN to this same endpoint. The API documentation isn’t providing any example other helpful instructions as to where the binary gets inserted so it can be passed to IFS’s database. When I copy the application
