Document Management (DocMan)

In Apps9 we can quickly create object connections between a document revision and multiple objects (for example several Shop Orders). When adding a row in the Objects tab in Document Revision window the Connect Object dialog appears and I can choose an Object type and then search and select multiple rows to connect to the document revision.I can’t find this functionality in Aurena (Cloud), hope someone could help me!

So my company is on apps 10 upd 18 and we are migrating to Cloud here very soon. I have an open ticket right now about an issue that we discovered in Aurena apps 10. We have enabled attachments on the Payment tab of the supplier. We attach various payment information about the vendor here for reference. This said, what we discovered is that once we moved our accounting department over to Aurena, that the attachments weren’t showing up. The reason for this, we’ve discovered is that the attachments pane is only showing “header” level attachments and is no longer contextual to what you’re clicked on. In my ticket, I was told that this is a “limitation of the Aurena interface” and that a work around was to go to “document object connection” to view attached documents. I was also told that this community post was “already opened” but this is a different issue. We have been using attachments on the supplier payment tab for 4 years. Is this a known issue? Hi all 😊,The customer has a problem with previewing attachments in APP10 Aurena. This is a widespread issue in many fields. When you click the preview button, and error message displays as below.The problem affects all users.The strangest thing is that the preview of the same attachments works in Enterprise Explorer, so it is not a problem of permissions or incorrect paths.Relevant technical logs are in attached files.Any idea on how to fix this issue is highly appreciated.Product Version: UPD15Thank You 😊

Dear Community,  Have anyone seen that error when we try to open an attached file from IFS EE Apps8?  When I checked the check out folder, it looks the attachment file was not created. It looks EE are not able to create the file there. But the test environment is able to create the file and open it without any issue. This happens in every client machine, not just in only a few. Has anyone seen this earlier? Thank you very much for any thoughts. Best regards, Balazs

Dear Community,we have a new IFS Cloud 23R1 implementation, and we have to add thousands of files to DMS, Repository Type = File Storage.Which is the best way to do that?We’ve tried to update the EDM_FILE_TAB and to put the files manually in the docman folder, but it doesn’t work.Thanks for your feedback!BRTheo 

Many of my users are experiencing a problem where it takes several minutes or more to attach a document. Documents are stored in the database, and these are local users to the server so not a network issue.  They are in chrome with the appropriate plug in’s and are browsing to the documents. Running 23R1 Update 7

Hi All,As mentioned in several community posts, IFS is phasing out the shared document repository type with the introduction of support for file storage across multiple locations.According to the IFS documentation, although shared repositories are being deprecated, it is still possible to enable them manually. Customers may continue to use this functionality until IFS releases full support for multiple file storage locations.I would like to inquire whether any other customers or partners have manually enabled shared repositories and are currently utilizing this setup. Hello Everyone, There is a requirement to send Attachments  with the same email of the Purchase Order’s Print Order...The mail should contain the attachments of the Purchase Order as well as the Purchase Order report.This should be happen only if the attachments are in specific document classes eg: 4600 - 4699.This should be work in Aurena as well. Please let me know if you have any idea of how to do this.  Many Thanks,Denuka

Hello All, Our customer wishes to use digital signature functionality so they have created a new custom event action for event DOCUMENT_APPROVED. Method:Edm_File_Sign_Util_API.Certify_Pdf_File (‘&DOC_CLASS', '&DOC_NO', '&DOC_SHEET' , '&DOC_REV' , 'Signature from IFS'); They have generated new user certificates in keystores window and when the user try to approve the document, below error “Invalid file name” comes.As you can see there are no special characters in the file name.  We are on Apps 10  UPD 14 and one of our departments is using Aurena at the moment. We’re having an issue with the approvals panel. The notes get cut off. This field in IEE is 2000 characters long but when the step is approved in Aurena, you can’t see what the notes say. Is there a way to change this behavior? Can I modify the attachments pane approval tab to have the cards show custom fields? I’ve looked at this for a while and I can’t figure it out. Notes are cut off. Text does not wrap and once the step is approved, you can’t view the entire note. 

Afternoon, Has anyone ever found a location for the Approval Creator? Basically, what I’m attempting to create using a custom event is to email the creator of the approval process if the approval line is ‘Approved’ I’ve checked some of the views such as Approval_current_step and Approval_Routing and neither of these have the creator of the approval process. Any ideas? Kind regards,Ryan

HiI am having a problem give permission of “Work Assignment Information” tree view to general users. This tree view is under the window My Task ( under Service and Maintenance module, attached ) in IFSAPP10. I have already checked both presentation objects and Database objects in the permission set window but unable to find anything related with the text of tree view menu, so, unable to give permission from permission window. The users I am trying to give permission can access My Work window.  Thank you

Hi,We have set up a new report rule to get the PDF from our Project invoice print, check it in Document Management and attach it to the Project Invoice screen. It works really well if the Document Management repository is set to Database but we cannot get it to work if is FTP. We are in Apps10 UPD6.Has anyone got a report rule Check in Document Management to work with FTP or do you think it is a restriction from IFS?Many Thanks and Regards,Anne-Sophie

Hello,when I attach an attachment in IEE, the attachment is not available in B2B. If I attach an attachment in B2B, in IEE is available. So the problem is just from IEE to B2B.attachment is released no matter which object (Purchase order, Customer order,…) the problem is also in AurenaI tried to set all projections and object transformation but I started to get insecure, so there can be some mistake. Thank you form help :-) 

Hi, When a new record is created on the Document Revision screen, I want IFSAPP to automatically be the responsible person of the uploaded document for a certain document class. I tried to do this as an event but it doesn't seem possible. How can I do this?

Hello, My customer is using Aurena, and would like to attach documents such as supplier delivery notes to the Register Arrival Lines, so that after receiving the parts into stock, and the Receipt is then created, the same documents will appear on the Receipt.In Aurena, I have noticed that the Register Arrivals LU is ReceiptInfo, which is the same LU used for the Receipt screen. However, they have different Projections, so I am unsure as to how we would create this object connection transformation. I also looked at this in IEE, and the Register Arrivals screen uses a different LU to Aurena, as it uses PurchaseOrderLine instead of ReceiptInfo, but even when making this an active object connection its not possible to attach documents here.My question is, has anyone used the Register Arrivals window to attach documents before, and if so, how was this achieved? I have pdf document embedded in XML file for EDI orders.I want to create document based on embedded file and attach document to order.We are using 23R2,  must be handled through REST-API

 In Apps 10 there was a LTU for document management. Similarly, for 22R1  is there a LTU for document management area? Or any other LTU which covers the document management functionality?

Hello,Surely, I must be missing something.  I have a document(s) attached to Project Definition but I cannot view the document from the attachments pane.  The eyeball isn’t there.  I don’t have a problem using view document from the document revision itself.  Any ideas what would cause this?  Patrick

After selecting the approval template, I cannot see which template I selected during the approval process. Is it possible for me to see the template during the approval process? Or can I learn it with the function?I would like to explain my question with an example. Template 999 has been created in the approval template(image1).I then chose the approval template 999 during the approval process(image2). I can't see that I selected 999 approval templates in the approval process.Best regards Mervan 

Hi,I’m trying to preview attachments connected to an  'External Supplier Invoice'  in cloud 21R2 but could not see the image attached.Installed Aurena agent but the issue remains the same.However I could see the Attachment using 'Preview' button on Attchment Panel, when the External Supplier Invoice is converted to an Invoice.Thanks!Bhagya 

One of our Customer would like to implement an interface with Docusign. Seems that we have some available API like CDocusignSignerEntity. Is this standard and if yes, do we have some use case and example ?

Business requirement is that we receive Supplier quality certificates that we check into IFS / Supplier. Those certificates need a validity period set. The users need to get notified when the quality certificate is about to expire. I found the below thread useful where I read the responses from @Mathias Dahl and @william.klotz. My question is slightly similar to @DominikaM’s question on the previous thread. I need set an expiry date for a certain document class only. Within that Doc class, I need to control the expiry date at individual doc revisions and get a notification before that date.  Seems IFS dosen’t provide a straightforward way of doing it. Do you think I will be able to achieve it through a custom event only? i.e. I set up a user email that gets a notification generated when the document is nearing the expiry date that I entered when checking it in IFS. Unlike the previous thread, we enter a new revision only after Rev 1 is set to expiry / obsolete.
