Document Management (DocMan)

Is there a way to view PDF files without downloading them directly from the Document Revision screen, similar to how it is possible on the attachment panel in other screens? Is this possible with a custom command maybe?In my case I will have a lot of documents not attached to any objects, I would still like to be able to view the PDF documents without downloading them.

Hello, We currently are using document management and approvals of documents.  When we start approval process on the document the approvers in the list of approvers on the document receive an email telling them about a document requiring approval and the document is attached to the email for them to view. We’d like to utilize the IFS Notify Me application so someone who may not have direct access to IFS can receive the notification of the pending approval request and ideally be able to approve or reject the document from the IFS Notify Me application. Is this functionality available within IFS Application 10 Update 8 or above?Do we need to define a custom action to accomplish the functionality? Regards,William Klotz

Requirement: We need to trigger an event to send a mail to a particular recipient with the documents attached to a Customer Order. Problem Overview: We have set up an event action using online SQL to generate and send emails with relevant attachments. The process involves fetching the appropriate attachment and sending it along with the email. However, we've encountered a challenge where, even though the attachment is successfully fetched, it's not getting attached to the email. Consequently, when we trigger the event, we receive a mail without the expected attachment. What's Been Done:Please note that we have hard-coded some of the values for testing purposes. SQL query to fetch the relevant attachment.   DECLARE

Hello, I have problem with retrieving SQL command in IFS cloud. In Oracle db this SQL command in picture2 is working but in IFS in some cases is working but in some not. I want to put together values in columns “Superior Part No” and “Popis polo” in column “Nazov”. Where is no Superior No, there would be only “Popis polo” after that should be in column “Nazov” “32 PBA ELA” after that in pic3 is working, but when is in “Superior Part No” value 322 than there is in “Nazov” column 309 and not 322.  Thank you for your advices

When receiving an Invoice from supplier thorugh EDI we have no picture file included. In IFS External supplier invoice parameters you can tick the option Create Image. System will then create an invoice image based on the received data. This part is working , we can find the invoice image in report archive but is there a way to set system up to automatically check this in to docman to invoice and posting proposal?

Hello Community,I hope everyone is doing fine.I need to create a copy of about 18,000(+) documents. The main reason to perform this task is that another company bought part of our company. Therefore, I need to create a copy of the physical documents of the business section sold to send documents to the other company.What will be the best to copy all the documents and create an extraction to move them to another database?Any idea how could I do that? Any format?Any type way to do that?What tables in IFS will contain the physical documents?Any advice on how to perform this project?We are using IFS 9 Any advice will be appreciated.Thanks,JL    

Hi all, We have files as large as 10 GB. When we try to create them in IFS,  we get this error after 25 min. It happens on both database and ftp repositories. Any ideas on how to handle this?

Hi,I’m trying to preview attachments connected to an  'External Supplier Invoice'  in cloud 21R2 but could not see the image attached.Installed Aurena agent but the issue remains the same.However I could see the Attachment using 'Preview' button on Attchment Panel, when the External Supplier Invoice is converted to an Invoice.Thanks!Bhagya 

Community,When checked in the new document, IFS will name the document like “B100-R000026GEN-1-A1-1.TXT”.  it is composed of document class+ document no+ Revision+ ….my question is, is possible to have it appended with document title? Thank you.

Hello,When trying to upload a document in IFS cloud, im receiving below error.Something went wrong when uploading the file using the Aurena Agent. Error message: Missing or empty mandatory parameter: odata i did a bit of an investigation and the error comes from command CreateAndConnectDoc in the DocReferenceObjectAttachment.client file. When trying to execute the agentcall Upload this is getting failed. It looks like we cannot access aurena agent code. Can someone explain me why this error is raised. I suspect the file part could be a reason. File is located in a folder structure like below.C;\Users\t.user\New Folder\Test.pdf any help is highly appriciated.. ThanksRoshanga

We would like to o create a folder/database of files in IFS for our Proof of Delivery documents that we can search by Order Number, PO Number, Invoice Number, etc. and retrieve the Proof of Delivery.Does IFS have the capability scan files directly into IFS or have a scan imported to a folder within IFS? And then those files can be searched to retrieve a specific document?

Our IFS DB is growing and big portion of the volume are document attachments, therefore we would like to move them to a file storage service. We see “File Storage” option in document management repository, but we would like to confirmwhat “File Storage” services this option is supported with on remote installation, is it Azure File Storage or Azure Blob Storage or both? are there any prerequisites to make “File Storage” option working with Remote Installation?   can you pls. extend IFS documentation with more detailed information regarding the usage of “File Storage” and what storage services are exactly supported with remote installation of IFS Cloud? can you pls. extend IFS technical documentation with a configuration guide for the file storage repository?  is there any plan to support other file storage services with next releases of IFS Cloud?  Thanks

I am trying to enable macros for MS Word from Demo Showroom environment 22R2. I have copied my macros from an environment also 22R2 that works - but in my demoshowroom environment - the IFS Fields are not appearing in MS WordI noticed that I got a message that Macros has been blocked. But after having enabled all macros in the MS Word Trust Center - the IFS fields are still not vissible for insert in the document.Any tips must appreciated :-)  This is for a very important demo and this is a key scenario for the customer/kim

I watched the you tube video and studied what I think is the extend of the information in our help documentation.  In the old days, we needed to have a certificate registered for the person who is doing the signing.  I don’t see references to needing a certificate in the help documents but I do see a Signing Certificates section within the Solution Manager.  Is that what I’m thinking about?How does all the work?  Do I need to have a person who is signing a document have to be registered as having a signing certificate.  How about for Internal vs External Users?Is there a place when I can see the whole story behind the use and setup of this functionality? Patrick

We're currently in the process of transitioning from APPS10 to IFS Cloud and are facing a significant challenge with migrating document attachments.In our APPS10 environment, we used a shared repository for storing documents. However, with the shift to IFS Cloud, we've encountered an issue as shared repositories are not supported in the cloud environment. While we have set up a database repository in IFS Cloud for new document attachments, which is working fine, we’re blocked when it comes to migrating the existing documents from APPS10.We need to ensure that all our existing document attachments in APPS10 can be brought over to IFS Cloud and remain accessible within the application.I would greatly appreciate any insights or best practices on how to migrate these documents from a shared repository in APPS10 to a database repository in IFS Cloud. Has anyone else faced a similar issue, and if so, how did you resolve it?

HelloWe are discussing about implementing Export Control in IFS 10.9 that we are using right now. Did a few tests with regards to PO and CO. Can anyone advise how does Export Control work with RMA (a test plan world be ideal - is it similar to CO? Denied Parties have to be excluded?)  DocMan before releasing a PO / CO, authorization by the Procurement / Sales Manager is mandatory in our business. In that case, do you think checking for Import / Export License can also be done during the authorization?
